Scope of Position:
Under general direction provided by the Principal Claim Auditor, the incumbent is responsible for performing a variety of the most difficult duties in the Operations Bureau, which requires a high degree of initiative, independence, and originality in completing assigned tasks. Must be able to stand for extended periods of time; requires occasional bending, kneeling and heavy lifting of boxes and bins; use of hand truck and utility cart; and computer keyboard and 10-Key.
Duties and Responsibilities:

- Maintain the paid claims files by creating a records transfer list, determine destruction dates per retention schedule, and arrange paid claims pickup and delivery. Sort claims for distribution to the audit units. Pick up claims and sort by date. Schedule pickup of confidential destruct documents. Research Public Records requests using the Contracts System, Fiscal System, and Microfiche. Prioritize incoming mail and route to appropriate recipients. Recall paid claims as requested. Respond to sensitive public contact or correspondence involving the knowledge and application of detailed regulations, policies, and procedures. Prepare correspondence independently utilizing a wide knowledge of vocabulary, grammar, and spelling. Communicate effectively with all contacted.
- Receive and distribute paid claims to the appropriate audit staff. Utilize standard office equipment including copying machine, facsimile equipment, multi-line telephone system, computer equipment and 10-key adding machine. Answer incoming telephone inquiries and direct to the appropriate staff using initiative, tact and good judgment; take independent action by gathering data and researching problems.
- Review contract/amendment for key data elements required by the SCO contract database; review and determine the elements are in conformance with standards of the Department of General Services contracting requirements. Receiving and/or release claims including recording, coding and batching. Verify claims are ready for release.
